F1202 Table Account Type / Balance Character Code Relationships




Asset Account Type Value is determined by the following numeric sequence:

1 - Cost - FC AAIs
2 - Accumulated Depreciation - FD AAI's
3 - Secondary A/D - SDA AAI
4 - Depreciation Expense Defined as an expense account in default coding
5 - Depreciation Expense - Secondary SDE1 AAI
6 - Depreciation Expense - Tertiary SDE2 AAI
7 - Net Book Value - Disposal Disposal Account Rules
8 - Disposal - Clearing Disposal Account Rules
9 - Disposal - Proceeds Disposal Account Rules
Blank - Any account that does not fit in the above criteria


How to determine if Fixed Asset Annual Close has been run:




1. Use DataBrowser or another data base utility program to access the F1202 file and enter the new fiscal year.
For example, if the new fiscal year is 2011 then enter "11" in the Fiscal Year field (FLFY). If records display when "11" is entered, F1202 records exist for this year.

These records could also be Projection Records for 2011 and not "actual" records. To determine if the records are Projection Records, enter a "1" in the FLDPCF field. If records display when "1" is entered in the Depreciation Calculation Flag field (FLDPCF), these are Projection Records for 2011 and not actual records.

These records should be purged by using the Purge Depreciation Projections program (R12859) before the Annual Close is run for 2010. If the Projections program (R12865) has been run in the current year it is best to use this option to review the F1202 records rather than the options listed below.

2. Access the Cost Summary Program (P122101) and find a typical asset. Enter the last day of the year for the new year. For example, for 2011 on a calendar date pattern, enter 12/31/2011. If values display, the Annual Close has been run for 2010. If no values display, it hasn't been run. If the Projections program has been run in the current year, it is best to use option # 1 above to review the F1202 records.

3. Inquire on a typical asset's Depreciation Information (P1202), enter the new year in the right-hand corner and click Find. If values display at the bottom of the screen, F1202 records exist for that year. The system is ready to process the new year's information. If the Projections program has been run in the current year, it is best to use option # 1 to review the F1202 records.
